This Privacy Policy explains how Xrate AI Agency (“Xrate AI,” “we,” “us”) collects, uses, and shares information when you visit xrate-ai-agency.com, request a demo call, book a call with us, or otherwise interact with our services.

1. Information we collect

Demo calls. When you ask our AI agent to call you, we collect the name and phone number you enter, and we create a recording and written transcript of that call. The phone number is also held in a short rate-limit record (about 24 hours) to prevent repeat dialing of the same number.

“Book a call” form. When you request a consultation, we collect your name, work email, phone number, company (optional), and anything you write in the message field.

Client engagement data. If your business engages us, we process the contact lists, scripts, and related data you provide so our agents can place calls on your behalf, and we generate call recordings, transcripts, dispositions, and booking records.

Technical data. Like most websites, our hosting and security provider (Cloudflare) may process basic request data such as IP address and browser type to deliver and protect the site. We do not run third-party advertising or cross-site tracking scripts.

2. How we use information

  • To place the demo call you requested and let you evaluate the agent.
  • To respond to your inquiry and schedule a consultation.
  • To provide, operate, and improve our calling and booking services.
  • To maintain quality, train and tune our agents, and keep records of outcomes.
  • To comply with legal obligations and enforce our terms.

3. Calls are recorded, and you're speaking with AI

Demo and client calls are conducted by an automated AI voice agent and may be recorded and transcribed for quality, training, and record-keeping. The agent identifies itself as AI if asked. By accepting a call, you consent to being recorded; if you do not wish to be recorded, please end the call.

4. How we share information

We do not sell your personal information. We share it only with:

  • Service providers (sub-processors) that power the service — telephony (Twilio), speech-to-text (Deepgram), language models (OpenAI), text-to-speech (ElevenLabs), hosting (Google Cloud), site delivery and security (Cloudflare), and scheduling (Calendly / Google Calendar). Each processes data only to perform its function.
  • Our clients, where you are a lead being called or booked on a client’s behalf — the relevant lead and call data is shared with that client and synced to their CRM.
  • Authorities or advisors when required by law, to protect our rights, or in connection with a business transfer.

5. Data retention

Demo-call phone numbers are kept only for the brief rate-limit window described above. Leads and consultation details are retained while we are in contact with you or for as long as needed to provide the service, after which they are deleted or anonymized. Client engagement data is retained per the client agreement. You can ask us to delete your data at any time (see “Your rights”).

6. Where your data is processed

Our backend is hosted in the United States, and several of our providers are US-based. If you are in the EEA/UK, this means your information may be transferred outside your country; we rely on appropriate safeguards (such as standard contractual clauses) where required.

7. Your rights

Depending on where you live (e.g., under GDPR or CCPA), you may have the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to opt out of calls. To exercise any of these, contact us at the address below and we’ll respond within the time required by law.

8. Security

We use reasonable technical and organizational measures to protect information, including encryption in transit (HTTPS/TLS) and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Children

Our services are intended for businesses and are not directed to anyone under 18. We do not knowingly collect information from children.

10. Changes to this policy

We may update this policy from time to time. When we do, we’ll revise the “last updated” date above, and material changes will be highlighted where appropriate.
